OVERVIEW

Lincoln Center for the Performing Arts (LCPA) serves three primary roles: it is the world’s leading presenter of superb artistic programming, is a national leader in arts education and community relations, and functions as the manager of the Lincoln Center campus. LCPA presents over 350 performances annually throughout our different performance series including American Songbook, Great Performers, Live from Lincoln Center, Lincoln Center Festival, Mostly Mozart Festival, Midsummer Night Swing, Lincoln Center Out of Doors and White Light Festival.

In addition, LCPA supports an array of programs for Lincoln Center Education including its community and family programming. Further, LCPA supports initiatives related to events at the David Rubenstein Atrium, LC Kids, as well as numerous key institutional initiatives and projects.

Reporting to the Manager, Office of the President, the Part-Time Administrative Assistant provides administrative support to the Office of the President. This position serves as the initial point of contact for the President’s Office, and greets visitors and guests of the President’s Office.

PRIMARY RESPONSIBILITIES

● Greet visitors to the office and serve as the “face of the president”.
● Assist with drafting official correspondence, create templates for recurring notes and letters and provide basic research for presidential initiatives as requested.
● Organize information and materials for meetings, reports, events and special projects; this will include ticketing for events and guests.
● Provide general bookkeeping assistance for the office; complete check requests, purchase orders, invoices, reimbursements, etc.
● Maintain office files; oversee office supply inventory with responsibility for keeping the office adequately stocked with general office supplies.
● Sort incoming mail and coordinate deliveries when necessary to other offices, both on and off campus; receive packages for the President and Office.
● Manage social media for the President and Office, finding relevant content to share, as well as promoting content that is created by LCPA’s Communications team.
● Serve as a point of contact for various initiatives, including those related to diversity, new audience development, and digital strategy.
● Plan, coordinate and implement various internal events including, but not limited to, staff gatherings and receptions.
● Coordinate special projects, run errands, and perform additional duties and other related tasks as assigned.

QUALIFICATIONS

● Prior experience working in a nonprofit or arts environment strongly preferred
● Interest in performing arts and enthusiasm for LCPA’s programs and initiatives preferred
● Prior experience working in a fast-paced office or with senior leaders highly desirable
● Ability to take initiative, work independently, accurately, and with discretion in a fast-paced environment.
● Ability to demonstrate excellent judgment and discretion in dealing with confidential and highly sensitive legal or other information.
● Ability to interact with executive and senior management that requires a high degree of judgment, tact, and professionalism.
● Exemplary oral and written communication skills; strong proofreading and editing skills essential.
● Ability to collaborate and work as part of team in order to achieve shared goals.
● Excellent interpersonal and organizational skills.
● Flexibility; resourcefulness; adaptability to changing needs and demands; willingness to work longer hours as circumstances require.
● Excellent computer skills including proficiency with Microsoft Office suite of applications.
● Bachelor’s degree or equivalent combination of education and experience.
